Overview
West 110 ("we," "us," "our") operates a cloud-based platform for ski and snowboard club management. This Privacy Policy explains how we collect, use, store, and share information when you use our platform at west110.com and related services.
1. Information We Collect
Account information
Name, email address, phone number, and role (parent, coach, or administrator) provided during registration.
Athlete information
Name, date of birth, skill level, medical and emergency contact information, and program enrollments. Athlete data is provided and managed by a parent or guardian.
Payment information
Billing address and payment method details. Card numbers are handled directly by Stripe and are never stored on our servers.
Waiver and signature data
Electronic signatures, timestamps, and associated IP addresses collected during the waiver signing process.
Usage data
Pages visited, actions taken, device and browser information, and IP addresses. We use Sentry for error monitoring.
Third-party integration data
- Stripe — transaction IDs, payment status, refund status
- QuickBooks Online — financial records (invoices, payments, customer records) synced only when a club administrator explicitly connects the integration
- Google Sheets — exported data (rosters, financial summaries) generated at administrator request
2. How We Use Information
- Provide and operate the platform — registration, scheduling, communication, and reporting
- Process payments via Stripe
- Sync financial records to QuickBooks Online at the club administrator's direction
- Generate reports and data exports
- Send transactional communications (registration confirmations, payment receipts, messages between coaches and parents)
- Monitor performance, fix bugs, and improve the product
- Comply with legal obligations
3. How We Share Information
Within a club: Administrators see all club data. Coaches see rosters for their assigned groups. Parents see only their own household.
Stripe: Payment data is shared with Stripe to process transactions, subject to Stripe's Privacy Policy.
QuickBooks Online (Intuit): When a club administrator connects QuickBooks, we sync invoices, payments, and customer records to their QuickBooks company. This data is shared with Intuit subject to Intuit's Privacy Statement. See Section 5 for details.
Google: Data exported to Google Sheets is sent at the administrator's request.
We do not sell personal information.
Law enforcement: We may disclose information when required by law, subpoena, or court order.
4. Data Security
- All data is encrypted in transit (TLS) and at rest
- Multi-tenant data isolation via row-level security policies
- Role-based access control across all user types
- Payment card numbers are never stored on our servers — Stripe handles PCI compliance
- OAuth tokens for third-party integrations are stored encrypted and can be revoked at any time
5. QuickBooks Online Integration
This section describes how we handle data related to the QuickBooks Online (QBO) integration, as required by Intuit.
- What we access: We read and write invoices, payments, customer records, and expense data within the connected QuickBooks company.
- Why: To automatically sync registration invoices and payments from the platform to the club's QuickBooks account, and to display expense summaries within our analytics dashboard.
- Authorization: QBO access is granted only when a club administrator explicitly connects the integration via OAuth 2.0. We do not store QuickBooks usernames or passwords — only OAuth access and refresh tokens.
- Storage: OAuth tokens and synced record IDs are stored encrypted in our database. We do not cache or store raw QuickBooks financial data beyond what is needed to display summaries.
- Disconnection: A club administrator can disconnect QuickBooks at any time from the settings page. When disconnected, we revoke the OAuth token and stop all data access. Previously synced record IDs are cleared from our database.
- Sharing: QBO data is only visible to administrators of the connected club. It is never shared with other clubs or third parties.
- Compliance: Our use of QuickBooks data complies with Intuit's Platform Terms of Service.
6. Children's Data
Athletes registered on the platform may be minors. All athlete information is provided and managed by a parent or guardian — we do not collect data directly from children. Parents and guardians can access, correct, or delete their athletes' information at any time through the platform.
7. Data Retention
- Account data is retained while the account is active and for a reasonable period after deletion to allow for reactivation
- Payment records are retained per financial and tax regulations
- Waiver signatures are retained for the applicable statute of limitations period
- QuickBooks sync data is cleared when the integration is disconnected
8. Your Rights
You may:
- Access, correct, or delete your personal data
- Export your data
- Disconnect third-party integrations at any time
- Contact us with any privacy-related request
Club administrators are the data controllers for their club's data. West 110 acts as the data processor.
9. Cookies
We use authentication cookies to maintain your session. We use Sentry for error monitoring. We do not use advertising cookies or third-party ad trackers.
10. Changes to This Policy
We may update this policy from time to time. We will notify users of material changes via email or an in-app notice. Continued use of the platform after changes constitutes acceptance.
