These terms are between you and West 110. Please read them before you create an account.
1. What W110 is, and what it is not
West 110 ("W110") is software that ski and snowboard clubs use to run their programmes: registration, scheduling, volunteering, and payments.
Your club runs the programme. W110 runs the software. Your club decides what programmes exist, what they cost, who coaches them, what happens if a session is cancelled, and what its refund policy is. W110 does not set those things and cannot change them for you. If you have a question about a programme, a coach, a schedule, or a refund, your club is who to ask.
W110 handles the payment for your club, which is why W110 may appear on your card statement rather than your club's name.
2. Who can have an account
You must be 18 or older to create an account. Accounts are for parents, guardians, and adult participants.
Children do not create accounts on W110. If you register a child, you are creating a record about them in your club's account — you are not creating an account for them, and they cannot sign in. See our Privacy Policy for how we handle information about children.
You are responsible for keeping your password private and for what happens under your account.
3. Registering and paying
When you register for a programme, you are entering an agreement with your club for that programme. W110 processes the payment on your club's behalf.
Prices, deadlines, and what a programme includes are set by your club and shown to you before you pay.
Payments are processed by Stripe. W110 does not store your full card number.
Fees. In addition to your club's price, you pay a fee at checkout. It covers Stripe's card-processing cost and W110's service fee of 1% of the registration amount. It is shown before you pay as one line labelled "Processing fee"; in the cart you can open it to see the two parts. Neither part is returned if a registration is later refunded.
4. Refunds and cancellations
Your club's refund policy governs. W110 will process a refund when your club approves one.
The fee you paid at checkout (card processing and W110's 1% service fee) is not returned when a registration is refunded. Only the registration amount, and any refundable volunteer deposit, come back.
Refunds go back to the card that paid, usually within 5 to 10 business days.
If a refund cannot be completed — for example the card that paid has expired — your club will arrange another way to return the money to you.
5. Volunteering and volunteer deposits
Many clubs run on volunteer help and ask families to commit to a number of shifts.
If your club uses a volunteer deposit, a refundable amount is charged with your registration and held by your club in its Stripe account. Your club sets the amount, the hours required and any household cap. If you add a registration later in the season, a further deposit may be charged if your club's rules require it.
At the end of the season your club decides the outcome: the deposit is returned to the card that paid it, kept if the hours were not completed, waived, donated to the club at your request, or carried forward as credit toward your next registration at the same club. Your club's volunteer policy, not W110, decides what counts as completing a shift, and your club decides any disputes about it.
The deposit itself is returned in full when your club releases it. The card-processing part of the fee you paid on it is not, because the card networks keep it (§4).
Credit. Carried-forward credit can be spent only at the club that granted it. It is applied to your next registration there at checkout, it cannot be converted to cash, and it expires two years after it is granted. If your club stops using W110, ask your club how it will honour unspent credit; W110 does not hold that money.
Volunteer opt-out fee. Some clubs let you pay a fee instead of volunteering. If you choose it, the fee is set by your club, shown at checkout before you pay, and not refundable. The fees in §3 apply to it as they do to a registration.
6. Waivers
Your club may require you to sign a waiver before your athlete participates. That waiver is an agreement between you and your club, not with W110. W110 records that you signed it, when, and the name you typed.
7. Messages
Messages about your account and your registrations — confirmations, receipts, schedule changes, shift reminders — are part of the service and are sent because you use it.
News and announcements from your club are separate. Your club sends those; W110 delivers them. Your club decides who it sends its news to. To stop receiving a club's news, reply to one of its messages or contact the club. It does not affect your registrations or your account.
W110 does not send you marketing. If you are also a club administrator, you may separately choose to hear from W110 about the product.
7a. Your club's data stays your club's
Each club's information is kept separate, and we do not share one club's data with another. W110 staff access club data to give technical support and to fix problems, sometimes by signing in as a user, and each such sign-in is logged. W110 staff also receive an email naming the parent and the athletes when a registration is made.
8. Acceptable use
Do not use W110 to break the law, harass anyone, impersonate anyone, upload harmful code, scrape or overload the service, or get access to data that is not yours. Our Acceptable Use Policy has the full list and forms part of these terms.
9. Your content
Anything you upload — a photo, a note, a form response — stays yours. You give W110 permission to store and display it as needed to run the service for your club.
10. If something goes wrong with the service
W110 is provided as-is. We work to keep it available and accurate, but we do not promise it will be uninterrupted or error-free.
To the maximum extent the law allows, W110's total liability for any claim arising from the service is limited to the amount you paid through W110 in the 12 months before the claim, and W110 is not liable for indirect, incidental, special, consequential or punitive damages. Nothing here limits liability that cannot be limited by law.
You agree to cover W110 against claims arising from your misuse of the service or your breach of these terms.
What we will not disclaim: W110 is not responsible for the conduct of a club, its coaches, or its volunteers, and does not supervise programmes or athletes. Physical safety at a programme is the club's responsibility, and skiing carries inherent risk, which is what your club's waiver covers.
11. Ending your account
You can close your account at any time by contacting us.
We may suspend or close an account that breaks these terms. If we do, we will tell you why unless we are legally prevented from doing so.
Closing your account removes it and, at present, the payment records and waiver signatures linked to it. If your club may need those records, ask it before you close your account. Our Privacy Policy explains what is kept.
12. If your club stops using W110
Your club owns its data — registrations, athlete records, financial records, and everything created in its account. W110 holds a licence to process and store it only to run the service.
On termination a club can export its data, and W110 deletes the club's data when the club asks it to.
12a. Other services W110 connects to
W110 works with Stripe for payments and, only when a club administrator connects it, QuickBooks Online for accounting. When an administrator exports to Google Sheets, W110 creates the spreadsheet in its own Google account and shares it with that administrator. Each provider is subject to its own terms, and W110 is not responsible for their availability or conduct. An administrator can disconnect QuickBooks from the club's settings while the club's plan includes it.
13. Changes to these terms
If we make a material change — one that affects your rights, your money, or how your information is used — we will tell you at least 30 days before it takes effect, explain what changed, and ask you to accept it. Minor changes such as fixing a typo or clarifying wording take effect when published.
How we tell you. We email the address on your account, so please keep it current, and we show you the new version when you next sign in. The email names the date the new version takes effect.
We keep every version. You can see which version you accepted, and when, in your account.
14. Law and disputes
These terms are governed by the laws of the State of Idaho, United States, without regard to conflict of law principles. Courts located in Idaho have exclusive jurisdiction.
We do not require arbitration and we do not ask you to waive class actions. Consumer terms often include both. We have left them out deliberately: they are worth little at our size, and a club board reading this should not have to weigh them.
